How we work

A method, run every month.

Reliable books come from a repeatable process, not heroics. Here is exactly how an engagement starts, how the monthly close runs, and how we keep your data safe.

Getting started

From first email to first close.

Books review — no cost

You send read-only access or an accountant’s copy of your file. Within a few business days we come back with what we see: the state of the books, the gaps, the scope, and an estimate of the hours in writing — every service is billed at $35.00 an hour.

Engagement letter

A short, plain-language agreement covering scope, the $35.00 hourly rate, responsibilities, data handling, and how either side can end it. Nothing is billed before you sign, and there is no minimum, no retainer, nothing recurring.

Onboarding

Secure, read-only connections to your bank feeds and accounting software; a review and clean-up of your chart of accounts; and a short call to learn how your business actually makes and spends money.

Catch-up (if needed)

If the books are behind, we rebuild and reconcile the missing periods to a clean starting point, on a firm delivery date, with a written summary of adjustments.

First monthly close

We run the full close for your first complete month and walk you through the statements. From here it is the same rhythm every month.

Business days 1–5, the same every month.

You always know when your numbers land. Here is the standard schedule for a typical close — larger engagements take more hours and add a day or two.

Days 1–2

Import & match

All transactions pulled from bank, card, and processor feeds, matched to the books, and coded against your rule set. Anything unclear goes on a short question list for you.

Day 3

Reconcile

Every bank, credit-card, loan, and clearing account reconciled to the statement. Differences are investigated and resolved, not plugged.

Day 4

Review & adjust

P&L and balance sheet reviewed line by line for anything that looks wrong. Accruals, prepaids, depreciation, and owner activity posted. A second reviewer checks the numbers that matter.

Day 5

Deliver & lock

Final statements, a one-page summary of what moved and why, and any flags for your attention. The period is locked so your reports do not change under you.

Monthly

Review call

A 30-minute call to walk the numbers, answer questions, and line up next actions.

Cadence

Statements by business day 5. A monthly review call. Replies to routine questions within one business day. A quarterly check on scope and the hours it is taking.

One point of contact

A named lead accountant owns your engagement end to end, backed by a reviewer. You are never re-explaining your business to a stranger.

Shared workspace

A single secure folder and task list: open questions, documents, deliverables, and the compliance calendar — visible to you any time.

Security & data handling

Your financial data, treated carefully.

We only ever need read-only access to your accounts. We do not hold signing authority, move your money, or store raw bank credentials.

  • Read-only bank and accounting-software connections
  • Multi-factor authentication on every system we use
  • Encrypted document storage; least-privilege access internally
  • Payments processed by Stripe — we never store card numbers
  • A written data-handling section in every engagement letter
  • On exit, access is revoked and your file is handed back in full

The close runs best when you keep connections live, answer our short question list within a few days, upload the statements we cannot pull automatically, and give us a heads-up before big events — a new loan or account, a large owner draw, a new state, an acquisition. That is genuinely most of it.
